Backup Theory

SBS 2008 leverages Windows 2008 backup technology. SBS also includes a wizard to configure scheduled backups. It also provides a centralized location to monitor the status of past backups and other related configurations.

SBS 2008 can backup:

Files and folders

System State

Exchange

WSS (SharePoint)

SQL 2005 Instances

MSDE Instances

With the new SBS 2008 backup solution, the concept of full vs. incremental is very different from what you are used to with previous versions of NTBackup. With SBS 2008 every backup is incremental from a storage point of view, but full from a restore point of view. Basically backup stores the changed blocks on the source, and maintains a meta data on which blocks changed per version. On the recovery side you can always recover the full version. The recovery logic looks at the meta data, picks up the correct blocks based on the version and adds them up. This same principle works for Exchange. The exchange recovery logic knows which files it needs to recover for the exchange databases. Then based on the version it picks up the specific blocks from backup drive, adds them up and restores it on the system.

Let’s see a quick simplified example to explain how it works, for this example assume a file on a volume is made up of 4 blocks ABCD:

So first backup all 4 blocks will be moved to destination
ABCD (Source) —> ABCD (Destination)

In the next backup cycle let’s say the block A changed to A’. So this time the file is A’BCD. Therefore only A’ will be moved to the destination like this, and the block A will be saved in a separate location
A’ (Source) —-> A’BCD (Destination)
A (+ Meta data for version info)

In the next backup let’s say again A’ changed to A”, so the file is now A”BCD
A” (Source) —-> A”BCD (Destination)
A’ (+Metadata)
A (+Metadata)

So on the backup disk, the full version is always the most recent version (for performance reasons), while previous versions are moved out to another location with meta data to link it to the backup version. The above example works the same for multiple disk rotation. It will only transfer the blocks since the last rotation. Now let’s say you wanted to restore to a particular backup version. So the backup logic will go through the steps described above in reverse order, and restore the specific blocks associated with the particular file and version.

Click “Next” at the Getting started page.

Select the drive you wish to backup to. You can back up your data to any external storage drive that supports USB 2.0 or IEEE 1394. Drives of this type offer large storage capacities and the speed that is necessary to efficiently back up your data. To backup to an internal hard drive check the “Show all valid internal and external backup destinations” checkbox. Please note that the wizard will only display drives that do not contain system files.

You can use multiple external storage drives for backups, and you can rotate the drives between onsite and offsite storage locations. This can improve your disaster preparedness planning by helping you recover your data if physical damage occurs to the hardware onsite.

When choosing an external storage drive for your server backup, consider the following:

Choose a drive that contains sufficient space to store your data. Your external storage drives should contain at least 2.5 times the storage capacity of the data that you want to back up.

When reusing an external storage drive, make sure that the drive is empty or contains only data that you do not need.

The backup destination drive must be larger than the partition(s) that you want to back up (including freespace). [I.E. if you want to back up a 200 GB partition that contains 70 GB of data, the backup destination must be larger than 200GB.]

NOTE: The Configure Server Backup Wizard formats the storage drives when it configures them for backup.

Enter a meaningful disk label.

Select the drives you would like to backup. You should back up the system drive (typically, drive C). You will not be able to exclude your system drive from backup. You should also back up any drives that contain business information such as:

Exchange Server data

Windows SharePoint Services data

SQL Server databases that support your line-of-business applications

Redirected user’s My Documents folders

User’s shared data folders

NOTE: You can only back up data from a local drive that is formatted as an NTFS file system. Drives formatted as FAT (including FAT32) file systems do not appear in the list of drives to back up.

You should protect your computer that is running Windows SBS 2008 and its data automatically by scheduling daily backups. It is recommended that you maintain a daily backup plan because most organizations cannot afford to lose the data that has been created over several days.

When you use the Configure Server Backup Wizard that is included with Windows SBS 2008, you can choose to back up server data at multiple times during the day. Because the wizard schedules differential-based backups, Backup runs quickly, and server performance is not significantly impacted. By default, Configure Server Backup schedules a backup to run daily at 5:00 P.M. and 11:00 P.M. However, you can adjust the backup schedule according to the needs of your organization. You should occasionally evaluate the effectiveness of your backup plan, and change the plan as necessary.

It is also recommended that you store your external storage drives offsite and regularly rotate them to protect your data if there is a natural disaster.

Once you click “Configure” on the summary page you will be presented the following warning:

You must accept this warning to continue. Please be sure that there is no important data on your target drive, as you will LOSE it.

Backup Now

Once you have completed the “Configure Server Backup” wizard backups will be taken on the schedule you specified. You can also manually launch a backup by right-clicking the server name and choosing “Backup now”.

Changing Your Backup Configuration

Once you have completed the “Configure Server Backup” wizard you can change the backup options using the Tasks section of the console.

From here you can change:

Add or remove backup items

Change what is backed up.

Add or remove backup destinations

Add or remove drives to be used for backup.

Change backup schedule

Change when backups are taken.

View backup history

See if past backup attempts were successful.

Backup now

Immediately takes a backup

Pause backup schedule

Prevents new backups from being taken. NOTE: You must click “Resume backup schedule” for future backups to be created.

Disable backup

Deletes your existing backup configuration. NOTE: You must rerun the “Configure Server Backup” wizard in order to take future SBS backups.

Here is an example of my backup history. The reason that you see so many failed backups is because I lent my USB hard drive to a co-worker for some testing.

Only the most recent entry will have the complete reason for the failure, previous entries will just have a failure, you must reference the Windows Backup event log for more information. To find the backup event log open Event Viewer and expand Application and Services Logs > Microsoft > Windows > Backup > Operational as seen below:

It’s finally here! The iPhone now has most of the functions of the BlackBerry – over-the-air push and sync of Exchange email, contacts, and calendars! Apple let the 2.0 OS out of the bag earlier today, and intrepid souls (and me) have taken the plunge and installed it.

While most people, including me, headed to the (also active) App Store to try out the native games, I quickly turned the other way – towards the new Microsoft Exchange integration.

Read on for my first impressions and instructions on getting it up and running.

By the way, the apps are great! Sega’s Super Monkey Ball is touchy, but I think I’ll get the hang of it. And my 4 year old loves Jirbo Match! Too bad the Red Sox weren’t playing or my test of MLB At Bat would have been much more exciting!

Up and Running With Exchange

Here’s the quick how-to for getting Exchange up and running on your iPhone. Note that this works on any iPhone with the version 2.0 software – the iPhone 3G comes with this out of the box, but original phones will need to be upgraded. Update: You do not need to buy the Enterprise Data plan from AT&T in order for this to function – it will work with any plan, and even works on the iPod Touch! Update: The process is pretty much the same with iPhone OS 3.0!

We will set up the mail account first, then enable sync for Calendar and Contacts.

Install iTunes 7.7 and upgrade your phone to iPhone OS 2.0 if necessary

If you already have your Exchange server running with IMAP, disable the account in Mail Settings. I left mine set up – no telling when or if I’ll need to revert!

Set up a new mail account, selecting Exchange as in the photo above.

Enter your email address (e.g. “billg@microsoft.com”) in the Email box.

Enter your Exchange domain and username (e.g. “msexec\billg.microsoft”) in the Username box and watch the text magically shrink to fit.

Enter your password (e.g. “OuttaHere!”) in the Password box and marvel at the nifty new “show the last letter entered” feature.

The iPhone will now try to automatically discover your Exchange server. If you don’t have Exchange 2007 with Autodiscovery turned on, it will fail and warn you that it couldn’t validate your account. You will have to manually enter your server name in the window. Make sure you enter your ActiveSync server name, not the OWA server (as in Entourage) or the real Exchange server (as in Outlook).

Now tap the home button and go into Mail. You should see your new account appear, and it should show your folders and email messages within a few moments. Congratulations! Email is now set up!

Next we will enable sync for Contacts and Calendars.

Note: You can’t sync Contacts and Calendars from both Exchange and iTunes! You must choose one or the other! And the iPhone will delete your old entries when you enable this! Update: You can do both desktop and over-the-air calendars in iPhone OS 3.0!

Ok, enough shouting, on with the show!

Once you’re sure email is working, go back into the Exchange Account Settings tab (shown above) and tap Contacts to “ON”.

The iPhone will warn you about deleting your existing entries, just like I just did! If you’re sure, tap “Sync”.

Now the iPhone will enable Sync. Do not go running up to the Calendar or (new!) Contacts App and expect to see everything there immediately. It took my phone about 5 minutes to populate these, and I was worried when I saw nothing there at first.

Do the same for Calendar and you’re all set. Wait a few and you will have pretty much full over-the-air Email, Contacts, and Calendar integration!

Initial Impressions

Prepare to be confused by the new Calendar and Contacts apps. They now include categories, and you can find yourself scratching your head at seeing no entries when you’re in the wrong category. I left my calendar in “Home” and there were no entries.

I had to tap “Calendars” at the top to return to the screen at right and select “All”. This could be really nice – I could organize multiple calendars here for work and home. But it’ll take some getting used to. Update: Don’t bother with multiple calendars! Update: Multiple calendars rock in iPhone OS 3.0!

Note that calendar entries are color-coded in the calendar, too, which is a nice touch. I don’t remember any similar functionality on my BlackBerry, but it could be that I just never discovered it. It took me about five years to figure out how to see missed calls, after all!

The same problem appears with the Contacts application. Here again, we have groups of contacts, and what you see is dependent on which group you’re currently “in”. I’ll have to work out how to manage these using Outlook or Entourage.

Thankfully, Apple finally includes a Contacts application on the home screen in OS 2.0. It was always frustrating to have to go into the Phone app just to look at someone’s info!

The App Store is good, but a little perplexing. There are about 500 applications up for sale right now, and not all are worthwhile. There are three “flashlight” apps, for example, all at different prices. I think the App Store will be quite a mess once all 25,000 or so applications have been added! It’s already hard to locate anything.

Apple released just two native apps: A $5 Texas Hold’em game, and a free remote control app for iTunes. The latter is pretty nifty – it seems to use Bonjour in reverse to present itself to iTunes instances running on the network. The iPhone shows up in the sidebar and you have to enter a PIN to activate it. This would be much cooler with an AirTunes device – There are some other worthwhile apps, too. MLB At Bat is great – live game updates and video clips of major plays.

I already mentioned a couple of games, but I was more interested in trying out the social networking applications. AOL released a free version of Instant Messenger, but I’m not sure if it (yet) supports Apple’s always-on push service. There’s a FaceBook app, too, but it doesn’t look much better than the web version.

This brings me to a major concern about the App Store. Why make a native app to do something the web does just as well? I can see where an offline book or map reader would be handy, but why MySpace? There are lots of Bibles in there already, but where is the off-line/on-line version of Wikipedia that I had hoped for?

Google added a search app, covering both the web and local content on the phone. But where’s Google Talk? Shockingly, after literally sharing the stage with Google at the iPhone’s introduction, Yahoo! is entirely absent from the App Store. Microsoft isn’t there, either.

But there were some nice surprises. Yelp, Pandora, and Paypal all have free clients that look useful. Time will tell which of these apps really get used!

Exchange databases run a defragmentation process once a day by default. This process rearranges mailbox store and public folder store data more efficiently, eliminating unused storage space. Exchange database online defragmentation occurs automatically as part of the database maintenance process. Online defragmenting is performed automatically at 2:00 AM every day by default. Online defragmentation makes additional database space available by detecting and removing database objects that are no longer being used. The defragmentation process provides more database space without actually changing the file size of the database.

The following are two ways to schedule database defragmentation:

To schedule database defragmentation for an individual database, on the Database tab of a mailbox store or public folder store object, configure the maintenance interval using the Maintenance interval option.

To schedule database defragmentation for a collection of mailbox stores and public folder stores, on the Database (Policy) tab of a mailbox store or a public folder store policy, configure the maintenance interval using the Maintenance interval option.

Although online defragmentation provides some additional database space, you should also defragment your Exchange database offline to reduce the physical size of your Exchange database. You can perform offline defragmentation by using the ESE utility (ESEUTIL) while your mailbox stores and public folder stores are offline.

You would perform offline defragmentation, for instance, if you had recently moved a large number of users from a server running Exchange 2000/2003. In that case, defragmenting offline decreases the size of your Exchange databases by rearranging the data on the server’s Exchange databases, and discarding any unused database pages.

Note that the length of time that the defragmentation will take will depend on the amount of white space in the database, as well as the size of the transactions recorded in the database, and your hardware specifications.

Offline defragmentation creates a new database by copying all records and tables from the old database into the new database. Because this is a copy, defragmentation requires free disk space equal to the size of the database (actually, you’ll need 110% of free space).

Very important note: After defragmentation is complete, ESE considers the new database to be a different database from the original. Therefore, the original database is deleted and its member log files cannot be replayed into the successor database.

A full backup should be completed as soon as possible!

Prior incremental or differential backups are no longer useful because they reference database pages that were reordered by the defragmentation process. ESEUTIL defragments a database by creating a new database, copying the old database records to the new one, and discarding unused database pages, which results in a newly organized compact database file.

Microsoft recommends a conservative 5 – 7 GB per hour for a defrag operation, which means that your server will be offline for as long as it takes, assuming no hardware failures will occur.

When you run ESEUTIL /d against a database to defragment it, the streaming file associated with the database is automatically defragmented. This is the default behavior.

For example, if you run the following command at a command prompt:

eseutil /d "c:\program files\exchsrvr\mdbdata\priv1.edb"

The Priv1.edb and Priv1.stm files are defragmented. If you do not want the streaming file to be defragmented, include the /i option.

Run ESEUTIL with the /p switch to configure ESEUTIL to create the new defragmented database on an alternate location (for example, to a location on a different hard disk). This switch lets you preserve your original defragmented database (which lets you revert back to your original database if necessary). This switch also significantly reduces the amount of time it takes to defragment a database, because you are rebuilding to a new location, rather then rebuilding the database in place.

Note: The database you wish to defragment must be taken offline (i.e. dismounted) before attempting to perform the defragmentation operation. When you run ESEUTIL against a Microsoft Exchange computer where it’s database is still mounted you will receive the following error message:

Operation terminated with error -550 <JET_errDatabaseInconsistent, Database is in inconsistent state>

If the database is still mounted, use the following steps to dismount the database, and then run ESEUTIL:

Start Exchange System Manager.

Right-click the database that you want to dismount.

Click All Tasks, and then click Dismount Store.
